Connect Gmail or Outlook and read your mail

Mesy reads your Gmail or Outlook mailbox once you connect it, and shows both accounts in one list under Inbox. You connect an account in Settings and read it in the All mail tab.

Connecting hands you to Google or Microsoft to sign in, then brings you back to Mesy. To connect an account:

  1. Open Settings from the sidebar and click the Integrations tab.
  2. On the Gmail or Outlook card, click Connect Gmail or Connect Outlook.
  3. Sign in with the provider and allow the access it asks for.
  4. Back on the card, check that your address shows with the status active and a Last synced time.

The same card holds Sync Now, which pulls new mail, and Disconnect, which removes the synced emails from Mesy after you confirm. If the status turns to error, the card offers Reconnect instead of Disconnect. Mesy refuses a second sync within 30 seconds of the last one and tells you to try again in a moment.

If you open All mail before connecting anything, the page shows Connect Gmail and Connect Outlook buttons. Once one account is connected, the folder rail keeps a Connect Gmail or Connect Outlook row for the other.

Click Inbox in the sidebar to land on the Inbox home. It has three cards: Needs reply, AI asks and New. Each row opens the conversation in its own channel. A channel that isn’t connected shows as Mail not connected with a link to its tab.

Under Inbox the sidebar lists All mail, Teams and WhatsApp. All mail is the mailbox view. Its left rail starts with All Inboxes, which merges the inbox of every connected account.

Below that, the Gmail section lists Inbox, Starred, Sent, Drafts, Trash and Spam, with Categories and Labels groups you can expand. The Outlook section lists Inbox, Drafts, Sent Items, Deleted Items, Junk Email and Archive, with a Folders group. Unread counts sit at the right of each row.

The header shows the current folder, an unread count, a Search… box (press Enter to search) and three buttons: Mark all as read, Sync your email accounts and Compose. Below it a strip shows each connected address with its last sync time and a Manage link back to Settings. Filter chips narrow the list on the server: Unread, Starred (Gmail) or Flagged (Outlook), Attachment, and a chip that cycles through In CRM and Not in CRM. A Needs reply chip appears only after an admin turns on Needs-reply detection in Admin, Organization.

The list loads 50 messages at a time. Click Load more for the next 50, up to 200 per account; past that, Mesy asks you to refine your search. Hovering a row reveals its actions: Add sender to CRM, Create task from this email, Archive, Move to, Star or Flag, and Mark read or Mark unread. Move to opens a searchable list of your Gmail labels or Outlook folders.

Selecting a row opens the thread on the right. The toolbar repeats the row actions and adds Link to record and Trash. Each message is collapsed to a single line. Click it to expand the body, the To and Cc lines, and the Reply, Reply all and Forward buttons. Attachments are listed under the thread: click one to preview it, or use Save to Files and Download.

On a desktop you can work the list from the keyboard: j and k move down and up the list, e archives, r opens a reply and a opens the Mesy Mail panel. The keys pause while you’re typing or while a compose panel is open. On a phone the rail, the list and the message open one at a time.

A mailbox an admin connected for the whole team appears in the rail under its own address. You can read it and mark messages as read, but archive, move and star stay in Gmail itself. If its connection breaks, the rail says an admin can reconnect it in Workspace Channels.
