Fill in your Business Profile

The Business Profile is where your workspace states what the business is and what it knows, in words everyone on the team can read. Open it from Business Profile in the sidebar. Every member can read the page; only an admin can change it.

Members and managers see the profile as it stands. An admin sees an Edit button in the page header, and on an empty profile a Fill it in button. A member opening an empty profile reads An admin has not filled in the business profile yet. The page carries no settings. Connecting channels, billing and roles stay in Admin.

The Identity section holds five fields: Name, What we do, Hours, Location and Links. A field nobody has filled in reads Not filled in.

To fill in or change the identity as an admin:

  1. Click Edit (or Fill it in on an empty profile).
  2. Type the business name under Name and a short description under What we do.
  3. Type your opening hours under Hours and your address or area under Location.
  4. Click Add a link for each website or page, then type its label and a URL that starts with http:// or https://.
  5. Click Save. The section shows the new values and a Last updated date.

A profile holds up to 20 links. A link with a missing label or a URL without http:// or https:// stops the save, and the form says so under the links. Cancel discards your changes.

The Knowledge library section is for what the business knows, written once so everyone answers the same way. It has two groups. Questions & answers holds the questions customers ask, each with a Question and an Answer. Business terms holds words an outsider wouldn’t know, each with a Term and a Definition.

To add an entry as an admin:

  1. Click Add a question or Add a term under the group you want.
  2. Type the title and the body. Both are required.
  3. Click Save. The entry appears in its group.

An admin can edit or delete any entry from the icons beside it. Deleting asks you to confirm and can’t be undone. An entry stays in the group it was created in; to move a term into Questions & answers, delete it and add it again there. A workspace holds up to 500 entries across both groups. At that limit the add buttons disappear and the section tells you to delete an entry before adding another.

The Channels section lists the channels your workspace has connected for the whole business. A Telegram line shows the bot’s username, and a WhatsApp line its display number. A Messenger & Instagram line shows the Page name, and each Shared mailbox line its address. Telegram and WhatsApp read Active or Paused; a shared mailbox reads Active or its current status. A channel that isn’t connected doesn’t appear, and the section reads No workspace channels connected yet. when nothing is.

The section shows only who is connected. It never shows messages, sign-in details, error messages or sync times. The Messenger & Instagram line appears only when your workspace has that add-on. An admin sees a Manage in Admin link that opens the Workspace Channels tab, where connecting and disconnecting happen.

The Team section lists every active member with their role: Admin, Manager or Member. Admins come first, then managers, then members. Beside each name, an icon labelled Gmail connected, Outlook connected or Telegram connected shows which personal channels that person has linked. The icons show only that a channel is connected; they never show the address or account behind it. Deactivated accounts aren’t listed.
