What the Reports page shows before you build anything

Section titled “What the Reports page shows before you build anything”

With an opportunity type set up, the page opens with three number tiles: Total plus the type’s name, Pipeline value and New this month. New this month compares this month’s count with the previous month and shows the change with vs prev. Pipeline value appears only when the type has a value field.

Under the tiles sits a bar chart of that type by stage. Click a bar to open the records list filtered to that stage. If the type has no pipeline stage field, the chart area reads No pipeline to chart. Without an opportunity type at all, the page reads No opportunity pipeline configured and you can still build reports with New report.

The builder shows its controls on one side and a live preview on the other. The preview re-runs each time you change a control. To build one:

  1. Click New report.
  2. Type a name in Report name.
  3. Pick a Source: an object type, or a type marked by role. A role source works in any workspace with a type in that role, whatever it’s called.
  4. Pick a Measure: Count of records, Sum, Average, Minimum, Maximum, Count unique, Count empty or Count filled.
  5. Pick a Measure field when the measure needs one. Sum, Average, Minimum and Maximum list only numeric fields.
  6. Pick a Group by field, or leave None: single value (KPI) for a single number.
  7. Pick a Chart type: KPI, Bar, Line or Pie.
  8. Click Save as report.
  9. Find the report under Saved reports with its chart running live.

Changing the source resets the measure to Count of records and the chart type to KPI. It also clears the measure field, group by and filters, because they belong to the previous type’s fields.

Group by lists Created date and Updated date first, then the type’s fields. A type with a won or lost stage also offers Closed date. Grouping by a date shows a Date bucket control: Day, Week, Month, Quarter, Year, Day of week, Month of year or Quarter of year. Multi-select and relation fields can’t be grouped on.

A grouped report has a Sort control: Value (high → low), Value (low → high), Label (A → Z) or Label (Z → A). A chart with more groups than it can show says Showing the top with the count, and notes that some aren’t displayed.

Click Add filter to add a row, then pick a field, an operator and a value. Operators are equals, not equals, greater than, , less than, , contains and is any of. For is any of, type the values separated by commas. A row with no value is ignored until you fill it in.

Every saved report is shared with the whole workspace, listed under Saved reports by name. Each card has an edit icon and a delete icon; their tooltips read Edit report and Delete report. Editing opens the builder with the report loaded; click Save changes when you’re done. Deleting asks you to confirm and removes the report for everyone. Edit or delete a report you created; an admin can edit or delete any report.

When your workspace has a product type, a Revenue by product card sits under the stage chart. It totals the line items on your deals, so it reads No line items to report until a deal has products. Switch All deals to Won only or Open only to narrow it. If a product category field is set up, By category groups the same revenue by category.

Under the chart you see the deal count, Revenue, and Margin when at least one line has a cost recorded. A margin marked (partial) covers only the lines with a cost. With a single product type and the By product grouping, clicking a bar opens that product’s record.
