Upload, link and share files

The Files page holds every file in your workspace, whether you uploaded it, saved it from mail, or captured it through Telegram or chat. Open it from Files in the sidebar to upload, preview, link, rename, download and delete files.

Drag files anywhere onto the Files page and drop when Drop files to upload appears. You can also paste a file from your clipboard, or click Upload and pick one or more files.

Each file may be up to 25 MB. Mesy accepts images, audio, video, text files, CSV, PDF, Word, Excel and PowerPoint documents, ZIP, JSON and RTF. Scripts, executables, SVG, HTML and XML files are refused with File type not allowed.

An Uploads panel shows a bar per file, red with an alert icon on a failure; click Clear to hide it.

The page opens in list view; click Grid view or List view to switch. Click the Name, Size, Uploaded by or Date column to sort. On a phone the list shows as tappable cards.

Type in Search files… to filter by name. Beside the search box, a microphone button records a voice memo straight into the library. Below, three groups of chips narrow the list:

  • Type: All, Images, Docs, Audio. Video and other files show under All only.
  • Source: Upload, Web scan, Telegram, Voice memo, Chat, Email.
  • Link state: Linked, Unlinked.

Pick one chip per group; click it again to clear it. With no match you see No files match your filters. The page shows 25 files at a time, with Previous and Next below.

Click a file to open it. Images, PDFs, plain text, CSV, Markdown, audio and video open in a full-screen preview with a Download button; press Escape to close. Every other type downloads at once.

The Source column says how a file arrived. Upload is a file you added here or on a record. Email is an attachment saved from your inbox with Save to Files; in the list, that label is a link back to the message. Chat is a file you dropped or attached in the Mesy chat. Telegram, Voice memo and Web scan name the other capture routes.

Files from Telegram, voice memos and drops onto the chat wait in a Needs review shelf at the top of the page. The heading shows their count. Each card shows the file, its source and any extracted text. Click Link to record on a card to file it; linking takes it off the shelf. Click Dismiss to leave it in the library unfiled. Dismissing never deletes the file, any member can do it, and the shelf disappears when empty.

A file can link to any number of records, and a record’s Files tab lists every file linked to it. To link from the Files page:

  1. Click Link to record on the file’s row or card.
  2. Type at least two characters in Search records….
  3. Click the record you want. It now appears in the file’s Linked to column.

Repeat for each record. Click a record chip to open that record. You can also drag a file’s thumbnail onto the drop zone in a record’s Files tab. Dropping a new file there uploads it, under the same 25 MB limit, and links it at once. To remove a link, open the record’s Files tab and click Unlink from record.

Only the person who uploaded a file, or an admin, sees Rename and Delete file on it. Delete asks Delete this file permanently? and then removes the file and all its links. Other members can still download and link it.

Files take their visibility from the records they’re linked to. While record sharing is off (the default), every member sees every file. An admin turns it on under Record sharing in the Organization tab of Admin. Once it’s on, you see a file when any one of these holds:

  • You uploaded it.
  • It’s linked to at least one record you can see.
  • It’s linked to no record at all.
  • You’re an admin.

A file linked only to records you can’t see doesn’t appear for you. An unlinked file is visible to the whole workspace, which is why the Needs review shelf is shared.
