Create and track tasks

Tasks are Mesy’s to-do items: a title, a due date, a priority, an assignee and links to records. You manage them on the Tasks page in the sidebar. They also appear on the calendar, on a record’s Tasks tab and on the Home page.

To create a task from the Tasks page:

  1. Click New Task.
  2. Type a Title.
  3. Add a Description, a Due Date, a Priority and a Status as needed.
  4. Leave the Assignee as yourself, or pick another member.
  5. Click Link record under Linked records to attach the task to a contact, company, deal or other record.
  6. Click Create Task.
  7. The editor closes and the list shows the new task under the current filters.

Priority is Low, Medium, High or Urgent. Status is Open, In Progress, Done or Cancelled. A due date can be a day on its own or a day with a time. Mesy assigns a new task to you unless you pick someone else. To create a task from the calendar, click New Event and switch to Task.

My Tasks is on when you first open the page and shows only tasks assigned to you; Mesy remembers your choice. Open shows open and in-progress tasks, Done shows completed ones, and All shows everything. Sort by Date Added, Due Date or Priority; sorting by priority groups the list under Urgent, High, Medium and Low headings.

The table has the columns Task, Linked, Due Date, Priority, Status and Assignee.

Click the circle at the start of a row (Complete task) to mark it done; on a done task it becomes Reopen task. Click the row to open the full editor. To change one field in place, click the due date, the priority, the status or the assignee and pick the new value. Hover the row and click the dashed + in the Linked column to attach a record. Click the cross on a record chip to unlink it.

On a record’s Tasks tab, drag a task row onto the AI command bar to attach it to your next AI request.

Any member can edit a task they created or are assigned to; managers and admins can edit every task. Delete a task with Delete in its editor; only its creator, managers and admins can.

A task with a due time is overdue the moment that time passes. A task with a due day only is overdue from the start of the next day, in Singapore time. It stays current until midnight on its due day. Done and cancelled tasks are never overdue. An overdue task shows its due date in red with an alert icon on the Tasks page, and its chip turns red on the calendar.

Every open task with a due date appears on the Calendar page while the Tasks row under My Calendars is ticked. Mesy shows every member’s tasks there, up to 200 in the visible date range. A task with a time shows as a one-hour block; a day-only task sits in the all-day lane. Drag a task chip to another day or time to change its due date, and hover a chip and click the tick to complete it. On the Tasks page, a due date with the View in calendar arrow opens that day on the calendar.

Tasks stay inside Mesy. The calendar never sends them to Google Calendar or Outlook, and nothing in your provider calendar changes when you move or complete a task.

The Home page’s Key Metrics strip has Overdue and Due Today tiles. Click one to narrow the Tasks & Follow-ups card to those tasks; click it again to clear. That card lists up to six of your open tasks with a View all link, and reads No open tasks assigned to you. when there are none.

Mesy sends you a Task assigned notification when someone else assigns a task to you. It sends a Task overdue notification once when a task assigned to you passes its due date. Mesy checks for newly overdue tasks every 15 minutes. If the due date changes, the task can notify you again when it next falls overdue.

Both notifications are on by default. Turn either off in Settings on the Notifications tab, under In-app. Once you’ve linked Telegram, a Telegram column appears there for each type.
