Work a record: notes, tasks, emails, chats, meetings and files

Open a record from its type’s page and the panel shows a row of tabs: Details, Timeline, Tasks, Emails (when it applies), Conversations (when it applies), Meetings and Files. The full record page shows the same tabs with counts, except Meetings, which lives in the panel only.

Add a note

Notes have two homes. Under Details, the Notes section has a box reading Add a note… and an Add button, with the latest notes below it. The Timeline tab has the same box at the top. Type your note and click Add; it appears at once with your name and the time.

You can edit or delete your own notes with Edit note and Delete note on the note. An admin can edit or delete anyone’s note. Members can’t change a teammate’s note; the server refuses with You can only edit your own notes. An edited note shows when it was edited.

Follow the timeline

The Timeline tab merges the record’s notes with its activity, newest first. Activity covers record creation, stage changes, calls, emails, linked chat conversations and meetings logged against the record, and campaign emails sent to it. An entry made by the AI carries an AI marker. A record with nothing yet reads No activity yet.

Link a task

On the Tasks tab, type in Quick add task… and press Enter or click Add task. Mesy creates the task linked to this record. Each task row has a checkbox labelled Complete task (or Reopen task once done), and clicking the row opens the task’s full details. A record with no tasks reads No tasks linked.

Read linked emails

The Emails tab appears when the record has at least one linked email, or when any email field on the record holds a value. Each row shows the message with a chip saying how it was linked: Linked manually, Auto-linked or Linked by AI. Click a row to read the message in place, or Open in Inbox to open it there.

To take a message off the record, click Unlink from this record. Mesy asks Unlink followed by the subject and explains that the message stays in your mailbox and only stops appearing on this record. When none are linked, the tab reads No emails linked to this record. A note under it says emails link by matching email address, or through an approved or manual link.

Read linked chats

The Conversations tab appears when a WhatsApp, Messenger or Instagram conversation is linked to the record, or when a phone match is waiting for your answer. Each row shows who you talked to, a mark for the channel, the last message and its date. Click Open in Inbox to open the conversation in its own tab. When none are linked, the tab reads No conversations linked to this record.

A phone match waiting on you sits above the list under Suggested, with the number that matched. Accept links the conversation to this record and Dismiss leaves it unlinked. You see your own matches only. When you can’t edit the record, Accept is greyed out and the card gives the reason.

A linked conversation counts towards the record’s last activity, dated by the messages themselves. A customer who only writes to you on WhatsApp no longer reads as quiet. To link, unlink or reply to a conversation, open it in the Inbox.

Read linked meetings

The Meetings tab lists calendar events linked to the record under Upcoming and Past, with the date, time and location. Click a meeting to open it in the calendar. When none are linked, the tab reads No meetings linked to this record. A note under it says meetings link when an attendee’s email matches, or from the event panel.

Attach files

On the Files tab, drop files onto the area reading Drop files here or click to upload, or click it to choose files. The limit reads Max 25 MB per file. Each file lists its size, who uploaded it and when, with Download and Unlink from record actions. Unlinking takes the file off this record without deleting it. A record with no files reads No files attached yet.
