Products and line items

Put the things you sell on a deal as line items. Each line has a quantity, a price and a discount. Mesy adds up the lines and fills in the deal’s value for you. Anyone who can edit the deal can change its lines.

A deal is a record (one entry in Mesy) for a sale you’re working on. Your business may call it something else, such as an enquiry or a tenancy enquiry.

Before you start

The Products section shows on a deal only when your admin has set up a list of things you sell, such as products or rental units. If you don’t see it, ask your admin, or see Design your data.

The section sits on the deal’s Details tab, below the fields (the pieces of information on a record, such as its name or value). You see it in the side panel that opens from a list, and on the full record page. It hides while you use Edit all fields, and comes back when you save or cancel.

Add a product to a deal

1. Open the deal.
2. If you have more than one list, pick one from the Catalog type menu, such as Product or Unit.
3. Click the search box. It names your list, for example Add a product….
4. Type part of the product’s name. The list shows up to 8 matching products, each with its code and price, such as $120.00/month. If you don’t see yours, type more of the name.
5. Click the product. The line appears with a quantity of 1 and the product’s price. You can change the price straight away.

You can also pick a product with the arrow keys and press Enter. Or type its exact name and press Enter.

The search looks at product names only. If you type only a product’s code, nothing matches. Pressing Enter then adds a one-off line with the code as its name.

Each line keeps the name and price it had when you added it. Later changes to the product’s name or price don’t change existing deals.

Add a one-off charge

Use a one-off line for something that isn’t in your list, such as a delivery fee:

1. In Products, type the charge’s name in the search box.
2. Click Add “Delivery fee” as a one-off line at the bottom of the list. The button repeats what you typed.
3. Type the price and press Enter. The line shows a dashed circle in front of its name, which marks a one-off line.

If nothing in your list matches what you typed, pressing Enter adds the one-off line too.

Change quantity, price and discount

Each line reads like 2 × $120.00, followed by the discount and the line’s total. To change a number:

1. Click the number.
2. Type the new value.
3. Press Enter or click somewhere else. Mesy saves the change and updates the totals.

The discount is a percentage at first. To use a fixed amount instead, click the % sign beside it. The sign changes to $. A line has only one discount at a time. Saving a $ discount sets the % discount to 0, and the other way round.

A line’s total is the quantity times the price, less its discount. Once a deal has lines, the total of all lines shows beside the Products heading.

Add a description to a line

To add a description, such as delivery terms:

1. Click Add description… under the line’s name. On a computer, it shows when you point at the line.
2. Type the description. Press Enter to start a new row of text.
3. Click Save, or press Ctrl+Enter (⌘+Enter on a Mac). The description now shows under the line’s name.

To change the description, click it. To remove it, delete the text and save.

Reorder or remove lines

To change the order, drag a line by the six-dot handle at its start. The handle appears once a deal has two or more lines.

To remove a line, click the ✕ at its end.

On a computer, the handle and the ✕ show when you point at the line. On a phone, they’re always there.

Open a product from a line

Click a product’s name on a line to open its record. One-off lines have no record, so their names aren’t links.

If the product has since been deleted, or you aren’t allowed to see it, its line keeps the name and price. The name isn’t a link, and the line shows a dashed circle like a one-off line.

How Mesy fills in the deal’s value

Once a deal has at least one line, Mesy puts the total of the lines into the deal’s value field.

Adding the first line replaces any value you typed by hand, even if the line’s price is still 0.

The field shows “Calculated from products” beside the amount. You can’t edit it by hand while the deal has lines.

If you remove every line, the value keeps the last total. You can then edit it by hand again.

If your deals have no value field, Mesy doesn’t fill one in. The total shows only in Products.

Add a rental unit to a deal

If your business rents out rooms or units, your unit list works like a product list. Add a unit the same way you add a product. The search box reads Add a unit….

A unit line always has a quantity of 1. A unit can appear only once on the same deal.

If the deal is already won, Mesy checks its tenancy dates before it adds the unit. To check which units are free, and what the date messages mean, go to See which units are free.

See which deals use a product

Open a product or unit record. Its Details tab has a Deals section listing the deals it’s on. You only see deals you’re allowed to see.

Each row shows the deal’s name, its company and its stage, then how much this product adds to the deal. If your deals have a value field, the deal’s full value follows, such as “$1,200.00 of $5,000.00”. Click the deal’s name to open it.

The amount at the top of Deals is this product’s total across those deals.

If something doesn’t work

• If you see “You don’t have permission to modify this record”, you can see the deal but can’t edit it. The message may say “opportunity” instead of “record”. Ask the deal’s owner or your admin.
• If you change a unit line’s quantity, or add a unit that’s already on the deal, Mesy shows “A unit must appear once per opportunity with quantity one”. The line stays as it was.
• If you press Enter and nothing happens, the list still shows products that partly match. Pick one, or click Add “…” as a one-off line at the bottom of the list.
• If a product’s price shows as 0 when you add it, Mesy couldn’t find a price for it. Ask your admin to check the product’s price.
