Approve AI actions from a chat app

Checked against the app on

Once you’ve paired Telegram, WhatsApp or Microsoft Teams with Mesy, you can approve changes from Mesy AI right in the chat. Mesy AI is the AI you chat with in Mesy. To pair, see Connect Telegram, Talk to Mesy on WhatsApp or Talk to Mesy in Microsoft Teams.

When Mesy AI needs your OK before a change, it sends a confirm card. This is a message headed “Confirm before this runs” that lists what will change. Nothing happens until you confirm it.

Which changes need a card depends on the AI permission tier your admin sets in Admin › AI Permissions. At the higher tiers, Mesy AI makes some changes straight away, with no card. See Set up the AI. Sending an email always waits for you.

At Read-only, the tier a new workspace starts on, Mesy can’t change records from a chat app, so no card arrives. Ask your admin to choose Review or higher.

Every card also waits for you in Mesy on the web. You can decide there instead, and the chat app catches up.

Each change on the card has its own line. A record is one entry in Mesy, such as one customer or one deal.

  • A new record starts with “Create”, then its type and name, for example “Create Contact: Tan Mei Ling”. The fields Mesy fills in are listed under it.
  • A change to a record starts with “Update”, for example “Update Deal: Tampines Reno”. Each field shows the old value, an arrow and the new value. A field that was blank shows “(empty)”.
  • Other actions, such as deleting a record or adding a calendar event, show one line that describes the action.

A line starting with ⚠️ under a change is a warning. For example, a required field is empty, or a meeting clashes with another one. Read these before you confirm.

The bottom of the card can also tell you:

  • “This cannot be undone once you approve it.” for a change Mesy can’t reverse, such as merging two records.
  • “⚠️ Destructive” for a change that removes something. You can undo it from Mesy right after.
  • For a calendar event, who will be emailed an invite. With no attendees, the card says no invitations will be sent.

Telegram and WhatsApp limit how long a message can be. When a card has too many changes to fit, it ends with a line such as “… +3 more”. You can see the rest in Mesy.

✓ Confirm and ✕ Discard act on every change on the card at once. To keep only some changes or edit a value first, see Edit a change on WhatsApp or Review a card in the Telegram mini app.

Tap ✓ Confirm to make every change, or ✕ Discard to drop them all. Mesy replies. After ✓ Confirm, it lists what changed. After ✕ Discard, it says “Discarded” and that nothing was applied.

On Telegram and Teams, the reply replaces the card, and ✓ Confirm and ✕ Discard disappear. An ↩️ Undo button may take their place. WhatsApp can’t change a message once it’s sent, so Mesy replies to the card instead.

If you tap a card you’ve already decided on, Mesy won’t make the change twice. It shows a note such as “Already approved in Mesy” or “No longer pending”.

If Mesy sends a new card before you decide on the old one, the new card replaces it. The old card says “No longer pending”, so only the newest card can be confirmed. A new card never replaces a business card photo’s card.

Some WhatsApp cards have a third button, Edit. It appears when the card changes one record and shows no warnings. The change can have up to six fields, and each must be text, email, phone or web address. Business card photos don’t get Edit.

To edit the values:

  1. Tap Edit. Mesy sends a message with an Edit changes button.
  2. Tap Edit changes. A form opens with the fields.
  3. Change the values.
  4. Tap Confirm changes. Mesy makes the change and replies with what changed.

A Telegram card has a Review in Mesy button. It opens a small version of Mesy inside Telegram, called the mini app. There you can choose which changes to keep and edit values.

To review a card in the mini app:

  1. Tap Review in Mesy on the card. The mini app opens on the Needs you list, with that card open.
  2. Untick any change you want to leave out.
  3. To change a value, tap the arrow at the end of that change.
  4. Edit the field.
  5. Tap the confirm button, which counts the changes you’ve left ticked, for example Confirm 2 changes. The card in your Telegram chat changes to “✓ Approved in Mesy”.

If a required field is empty, the confirm button is greyed out, and a note names the field to fill in. To drop the whole card, tap Discard.

The Needs you list shows everything waiting for you. Cards from Telegram and WhatsApp open in full there. Cards from the web chat or Teams show as a short row that opens Mesy in your browser.

Review a WhatsApp or Teams card on the web

Section titled “Review a WhatsApp or Teams card on the web”

WhatsApp and Teams have no mini app. To skip changes or edit values, use Mesy on the web:

  • A WhatsApp card opens in full on the Approvals page.
  • A Teams card shows on the Approvals page as a short row. Click Review in chat to open the full card on the Teams tab of Mesy AI.

Mesy doesn’t send email from inside a chat app. When Mesy AI drafts one, it sends a message headed “📧 Draft ready for your review”, with the recipient and subject. Nothing is sent yet.

  • On Telegram, tap Review in Mesy, read the email and tap Send.
  • On WhatsApp, open Mesy on the web from the link in the message. Read the email on the Approvals page and send it there.
  • On Teams, open the link in the message and send the email from the Approvals page.

Once the email goes out, the chat message changes to “✓ Sent from Mesy”. On WhatsApp, Mesy sends that as a reply instead. If Mesy can’t confirm the email was delivered, it asks you to check the mailbox’s Sent folder before you send it again.

After you confirm, an ↩️ Undo button appears if every change on the card can be reversed. On Telegram and Teams, it’s on the updated card. On WhatsApp, it comes in a separate message: “This ran. You can take it back once.” If any change can’t be reversed, the card says “Undo isn’t available here” instead.

Tap ↩️ Undo to reverse the changes. Mesy replies with how many changes it reversed and names them.

Mesy won’t reverse a change if someone has edited that record since. If only some changes are reversed, the reply says so, for example “↩️ Reverted 1 of 2”. The reasons for the rest are listed under “Not reverted:”. If nothing could be reversed, it says “↩️ Nothing was reverted” and gives the reasons.

Undo works once. On Telegram and Teams, the ↩️ Undo button goes away after you tap it. On WhatsApp, tapping it again says “↩️ Already undone”.

To undo from the web, see Review, approve and undo AI actions.

Send Mesy a photo of a business card with no caption, and it reads the details into a card. On Telegram, the card is headed “Business Card Extracted”. On WhatsApp, it’s a normal confirm card. If the person may already be in Mesy, the confirm button reads ✓ Add anyway.

If you add a caption, Mesy saves the photo to Files and answers your caption instead. For more on business cards, see Capture into the CRM.

  • If a card has no ✓ Confirm or ✕ Discard button and says “Staged for your review”, your admin has turned off Inline confirm in chat channels. Confirm on the Approvals page, or tap Review in Mesy on Telegram. Admins can find the switch in Set up the AI.
  • If WhatsApp says “This editor is no longer available”, the form is more than 15 minutes old or the card is already decided. Tap Edit on the card again.
  • If WhatsApp says “Those changes could not be confirmed”, check the fields on the Approvals page and try again.
  • If you decided on the web and WhatsApp didn’t reply, you haven’t messaged Mesy on WhatsApp in the last 24 hours. Your choice is still saved in Mesy.
  • If the mini app shows Confirm it’s you, your account uses two-factor sign-in, a second check after your password. Enter the 6-digit code from your authenticator app and tap Verify, or tap Use your passkey instead. If your account only has a passkey, tap Use your passkey.
  • If you only have a passkey and Telegram can’t use it (always true on an iPhone, iPad or Mac), tap Verify in your browser. Sign in to Mesy in the browser if asked. Check the code matches the one in the mini app, then click Approve. The request lasts 5 minutes.
  • If the mini app shows Can’t sign you in here, read the reason under the heading.
    • If it says your workspace requires two-factor sign-in, set it up in Mesy on the web, then try again. See Two-factor and passkeys.
    • If it says your Telegram account is not linked to Mesy yet, tap Sign in to connect. See Connect Telegram.
