Watch workflow runs and fix a paused workflow

A workflow is a rule that does routine work for you, such as “when a deal goes quiet, create a task”. Use this page to see what your workflows did, approve steps that wait for you, and get a paused workflow running again.

Each time a workflow starts, Mesy keeps a run: a list of what each step did. Everyone in your workspace can read runs. A workflow’s owner starts as the person who made it. Only the owner or an admin can turn it on or off.

Check how a workflow’s runs went

The Workflows page shows each workflow’s latest run in the Last run column, such as “Succeeded · 2h ago”.

To see every run:

1. In the sidebar, click Workflows.
2. Click the workflow.
3. Click the Runs tab.
4. Click a run. It opens to show the steps it took and how each one ended.

Each row shows the run’s state, how long ago it started and what started it. If someone pressed Run, the row says Run by and their name.

State	What it means
Running	Mesy is working through the steps now.
Waiting	A Wait step is holding the run, or an AI step is still working. A Wait step shows when it carries on, in Singapore time.
Awaiting approval	A step has prepared a change and is waiting for the owner to approve it.
Succeeded	Every step finished.
Skipped	The run stopped early without an error, for example because a condition wasn’t met or an AI step had nothing to work with. The skipped step says why.
Rejected	The owner dismissed the change the run was waiting on.
Cancelled	The workflow was turned off before the run finished.
Failed	Something went wrong. The run shows why.

An open run shows what started it, such as a new record. It also shows the record it worked on. If the run failed, a red box at the top gives the reason. Below it, each step shows its result, such as Succeeded, Skipped or Blocked.

If you aren’t allowed to see the run’s record, the red box doesn’t appear and each step’s details show Restricted. Ask the workflow’s owner or an admin to check the run.

Approve a step that waits for you

When a step waits for approval, the run shows Awaiting approval. The change waits on the Approvals page as a confirm card: a box that shows the change before anything happens.

If you own the workflow, you get a notification, such as “Workflow “Follow-up email” staged a proposal for your review”. Click it to open the card on Approvals. From the run, you can also click Review in Approvals.

On the card:

• For an email, click Send. For other changes, click the Confirm button, such as Confirm 1 change. The run carries on with its next step.
• To say no, click Discard or Dismiss, or the X on an email card. The run ends as Rejected.

If the confirmed change fails, the run ends as Failed. Each card’s From workflow button opens its run. Review, approve and undo AI actions explains how to check a card.

To stop these notifications, click your name at the bottom of the sidebar to open Settings. Open Notifications and turn off Workflow proposals in the In-app column. The cards still appear on Approvals.

Get a paused workflow running again

Mesy pauses a workflow when its last five finished runs all failed. Any other result starts the count again. When Mesy pauses a workflow:

• The Workflows page shows “Paused after repeated failures” under its name.
• The workflow’s page shows a red banner with a See the failing run link.
• The owner gets a notification, such as “Workflow “Follow-up email” was paused after 5 failed runs”, with the latest error below it. This notification can’t be turned off.
• Runs that haven’t finished become Cancelled. Changes already on Approvals stay there.

Only the workflow’s owner or an admin can fix it. Use a computer: on a phone, you can’t change a workflow.

1. Open the workflow.
2. In the red banner, click See the failing run. The Runs tab opens with that run expanded.
3. Read the red box and the step marked Failed or Blocked.
4. Click the Editor tab.
5. Change the failed step’s settings, or remove the step.
6. Click Test.
7. Pick a record. The Test run panel shows what the workflow would do, without changing anything.
8. Click Save. The switch at the top of the page won’t turn on until you save.
9. Turn on the switch. The red banner goes away.

Cancelled runs don’t come back. Records that changed while the workflow was off don’t start it later. The earlier failures still count. If the pause didn’t cancel any runs, one more failed run pauses the workflow again.

Give a workflow a new owner

If the owner’s account is permanently deleted, Mesy turns the workflow off. Its runs stay. The workflow’s page says its owner left the workspace. Only an admin can fix it. Everyone else sees “An admin must reassign it before it can run.”

1. Open the workflow.
2. In the banner, choose a person from Reassign to…. The banner goes away, but the workflow stays off.
3. Turn on the switch at the top of the page. The workflow now runs for its new owner.

If you pick someone who has been deactivated, Mesy won’t accept them. Some workflows have an Assign the owner step, which makes someone the owner of a record. For those, pick a manager or an admin. If you pick a member, Mesy names the step that stops it.

Check whether a step will ask first

In the Editor tab, each step’s badge says whether it runs by itself, waits for approval or is blocked. See Add steps in Build a workflow.

A badge starting May stage appears on a step that updates a long text field. It shows when Admin › AI Permissions is set to Auto-write. Mesy asks first only if the field already has text. An empty field fills in by itself.

A step can also become blocked after you save, for example when your admin lowers a setting. The next run then fails. Five failed runs in a row pause the workflow.

If something doesn’t work

• The on/off switch is greyed out. Only the workflow’s owner or an admin can use it. Its hover text says “Only the workflow owner or an admin can toggle this”.
• You can’t see the Run button. It appears only while the workflow is on, and only on a computer. The owner or an admin also chooses who can press it: Anyone can run, Managers and up or Owner and admins. Use Test to check a workflow while it’s off.
• A workflow is on but has no new runs, or a run you started stays Running. Its owner may have been deactivated in Admin. Mesy doesn’t pause the workflow in this case. Ask your admin to reactivate the owner.
• A card on Approvals says its workflow was turned off after the card appeared. You can still send or confirm it, and the change goes ahead. The run stays Cancelled and doesn’t carry on.
