Send a campaign email
Checked against the app on
Send one email to many people from a campaign, then see who replied and who unsubscribed. A campaign is a record for one promotion, such as an open day. A record is one entry in Mesy, such as one customer or one deal.
Sending needs the Marketing add-on, an extra part of Mesy that Mesy turns on for your business. To check whether you have it, see Add-ons. Anyone on your team who can see the campaign’s record can send from it. You don’t need to be an admin.
Record a person’s marketing consent
Section titled “Record a person’s marketing consent”Consent shows whether a person agreed to get your marketing emails. Anyone who can see the person’s record can set it, with or without the Marketing add-on.
- Open a person’s record, such as one of your contacts.
- At the top of the record, next to the tags, click the consent label, for example No consent recorded.
- Pick Opted in, Opted out or No consent recorded.
The label now shows your choice. On a computer, it also shows where the choice came from and the date. For example, “set here” means someone changed it on the record. “replied STOP” means the person replied STOP to a campaign email.
To record consent for many people at once, pick a Consent column when you import a file. See Import records.
People who are Opted out never get a campaign email. People with No consent recorded can still get one. Mesy shows you how many before you send.
Write the email and launch it
Section titled “Write the email and launch it”You need your own Gmail or Outlook connected. The emails go out from your mailbox. If you’ve connected both, they go out from your Gmail. To connect one, see Connect and disconnect integrations.
This campaign’s members are the people an earlier email from this campaign went to, plus anyone a workflow added. Mesy skips anyone an earlier email already covered. So a members email reaches only people who haven’t had one yet, such as those a workflow added. A workflow is a rule that does routine work for you. Its Add to a campaign step adds people to a campaign. To set one up, see Build a workflow.
- Open the campaign’s record.
- Click the Marketing tab.
- Under Compose, type a Subject.
- Write the message in the box below it.
- Choose who gets it. People by type and tag sends to a list such as your Contacts. This campaign’s members sends to people already in this campaign.
- If you chose People by type and tag, pick the list under Audience.
- To send to only some of those people, pick a tag under Tag (optional). A line below shows how many people it goes to, for example “48 recipients in this segment”.
- Click Review & launch.
A confirm card now appears under Waiting for your approval. A confirm card is a box that shows what Mesy will send. Nothing goes out until you approve it.
These limits apply:
- One campaign email can go to 1,000 people at most. For a bigger list, Mesy shows “Segment too large” and sends nothing. Pick a tag to make the list smaller.
- With This campaign’s members, the warning reads “Too many members”. Switch to People by type and tag and pick a tag instead.
- Your business can send 200 campaign emails a day across all campaigns. The day starts at midnight Singapore time.
- Each person gets at most one email per campaign. If you send another email from the same campaign, Mesy skips everyone the first email already covered. That includes people skipped for having no email address. To send a follow-up, use a new campaign.
Each email ends with a line such as “Sent by you@yourbusiness.com via Mesy.” and an Unsubscribe link. Gmail and Outlook also show their own unsubscribe button to the person reading it.
Approve the email before it goes out
Section titled “Approve the email before it goes out”Your confirm card waits in three places: on the campaign’s Marketing tab, in the Sends panel on the Marketing page, and on the Approvals page. Each person sees only their own cards.
On the Marketing tab and in the Sends panel, the card says how many people the email goes to, such as “Launch to 48 recipients”. On the Approvals page, the card shows the subject, with the count underneath.
Lines on the card show:
- how many have no consent recorded
- how many people an earlier email from this campaign already covered (“already handled by an earlier launch”)
- how many Mesy skipped, with the reason: “Opted out”, “No email address” or “Held by the daily cap”
To approve it on the campaign’s Marketing tab:
- Check the numbers on the card.
- Click Approve & send. To cancel instead, click Dismiss.
A green line now reads, for example, “Queued 48 sends.”
To approve it on the Approvals page:
- Click the card to open it.
- Click View message to check the subject and message.
- Click Approve & send. To cancel instead, click Discard.
The card now reads, for example, “Queued 48 sends.”
The numbers can change before you approve, for example if someone opts out. The green line then gives the number actually queued and says the card showed a different number.
Send emails held back by the daily limit
Section titled “Send emails held back by the daily limit”When the day’s 200 emails are used up, Mesy holds the rest. The campaign’s Marketing tab then shows how many are held, with a Resume held sends button.
- Click Resume held sends. A confirm card appears under Waiting for your approval, for example “Release 30 held sends”.
- Click Approve & send on the card. On the Approvals page, the same button reads Approve & release.
A green line now reads, for example, “Released 30 held sends.”
If today’s limit can’t cover them all, the card also says how many stay held, such as “12 still held by today’s budget”.
Follow a campaign’s results
Section titled “Follow a campaign’s results”The top of the campaign’s Marketing tab, under This campaign, shows its numbers. Each person sits in one of these four counts:
- Targeted counts people added to the campaign who haven’t been sent anything yet.
- Sent counts people whose email went out and who haven’t replied or opted out yet.
- Replied counts people who wrote back.
- Opted out counts people who unsubscribed or replied STOP.
If your business has deals, Deals touched counts deals linked to people in this campaign. Sourced deals counts deals that have this campaign in their campaign field. A field is one piece of information on a record. This count shows only if your deals have such a field.
Below these, Queued counts emails waiting to go out, and Failed counts emails Mesy retried and still couldn’t send. Skipped counts emails Mesy didn’t send, such as to people who opted out or have no email address. Emails held back by the daily limit count here too. Today’s budget left is how many of today’s 200 emails remain.
Members lists everyone in the campaign, with their status and when it last changed. Click All, Targeted, Sent, Replied or Opted out to show only those people.
To see every campaign’s numbers side by side, see The Marketing page.
See who unsubscribed
Section titled “See who unsubscribed”To see who unsubscribed, click Opted out under Members on the campaign’s Marketing tab.
The Unsubscribe link in the email opens a page that asks the person to confirm. Opening the link alone changes nothing. When they click Unsubscribe, the page reads “You’re unsubscribed.” Their consent then becomes Opted out, marked “unsubscribe link”.
A reply whose first line is only “STOP”, “unsubscribe”, “opt out”, “opt-out” or “remove me” also opts the person out. Their consent is then marked “replied STOP”.
If something doesn’t work
Section titled “If something doesn’t work”- A campaign record has no Marketing tab. Your business needs the Marketing add-on, and the record must be of the type set up for campaigns. Ask your admin. See Add-ons.
- Compose reads “No audience to send to”. No record type is set up for people. A record type is a kind of record, such as Contacts or Deals. Ask your admin to open the Schema tab in Admin and set your people type’s Semantic Role to Person. See Design your data.
- After Review & launch, Mesy says “no connected mailbox”. Connect Gmail or Outlook in Settings, then try again.
- This campaign’s members reads “No members yet”. Nobody is in this campaign yet. Add people with a workflow’s Add to a campaign step, or send to People by type and tag instead.
- A yellow note says the emails will go out without an unsubscribe link. Contact Mesy before you launch.
