Add an email to the CRM and make a task from it
An email becomes part of the CRM when it is linked to a record. You link from the All mail tab under Inbox, either by picking a record or by adding the sender as a new contact. A linked email then shows on that record’s Emails tab and Timeline.
Link an email to a record you already have
Section titled “Link an email to a record you already have”Linking works on any message, including one that is already linked to something else. To link an email:
- In All mail, select the email so its thread opens.
- In the thread toolbar, click Link to record.
- In the Link email to record window, pick a record type and search for the record.
- Click the record. Mesy confirms with Email linked to and the record’s name, or Already linked to if the link existed.
Linked records appear as chips under the row in the list and in a Linked Records section under the thread. Click a chip to open the record. A link the AI made carries an AI badge; other links show their kind in small text.
Add the sender as a new contact
Section titled “Add the sender as a new contact”When the CRM holds nothing on a message, the row’s hover actions and the thread toolbar offer Add sender to CRM. Clicking it doesn’t create anything yet: Mesy stages a proposal and tells you to review it in the co-pilot. The proposal appears in Approvals, in the Mesy Mail panel above the mailbox, and under Needs you on this thread in the open thread. Approving it creates the record and links the message to it.
The button doesn’t appear on a message you sent yourself. Under the thread subject of your own sent mail, a Not auto-added to CRM chip explains why nobody was added. Reasons include a recipient who is on your team or is your own address. Others are a calendar invite, a recipient list that is too long, or a workspace with no contact type. If a recipient was offered before, the chip names the date and links to that message.
Filter by what is in the CRM
Section titled “Filter by what is in the CRM”The chip in the header cycles from off to In CRM to Not in CRM. In CRM lists messages linked to a record you can see. Not in CRM is the queue of messages still to be filed. On the Inbox home, conversation rows that are linked carry an In CRM tag.
Unlink a wrong link
Section titled “Unlink a wrong link”In the Linked Records section under a thread, each chip has an unlink control titled Unlink from and the record’s name. Mesy asks you to confirm. It explains that the email stops appearing on that record’s Emails tab and Timeline, while the message itself stays in your mailbox. Click Unlink to remove the link.
Automatic linking
Section titled “Automatic linking”By default Mesy links nothing on its own. An admin can turn on Auto-link incoming emails under Admin, Organization. With it on, Mesy links an incoming message when the sender’s address matches a person record exactly. For other senders it asks the AI to propose links and new contacts.
Those proposals wait in Approvals until you approve or dismiss them. With the switch off, Approvals says that email auto-linking is off, so proposals won’t arrive.
Make a task from an email
Section titled “Make a task from an email”To create a follow-up task from a message:
- Hover the row or open the thread, and click Create task from this email.
- Edit the Task title, which starts as Follow up: and the subject.
- Pick a Due date if you want one.
- Click Create task. Mesy confirms with Task created, adding the record’s name when the email is linked.
The form says which record the task will link to before you click, or Not linked when the email has no record yet. The task lives in Mesy only and shows as an all-day item on the calendar.
