Capture a business card, photo or document into the CRM

Turn a business card into a contact, or keep a photo or document in Mesy. Do it from the co-pilot in your browser or from the Mesy bot on Telegram. Mesy stores the file first, then proposes the record as a card that you approve.

To scan a card from the Chat page or the floating panel:

  1. Click Scan a business card below the message box.
  2. Choose a photo of the card (up to 25 MB).
  3. Wait while the button spins, then read the card headed Review changes.

The card shows a thumbnail of the photo with a View in Files link and one row for the new contact. If the card names a company Mesy doesn’t have yet, a second row creates the company. Expand a row with Edit fields to correct anything the scan misread.

If the company already exists in Mesy, the contact links to it when you approve. If the person looks like an existing contact, the card says so and you decide. Click Confirm to create the records, or Discard.

The photo stays in Files whether or not you approve, and links to the new records when you do. If Mesy can’t read the card, it asks for a clearer photo and keeps the photo you sent. Mesy accepts up to 10 scans a minute.

Click Attach a file, paste a file, or drop it on the conversation. It appears as a chip above the message box; click the cross on the chip to remove it. When you send, the co-pilot reads the image or document and answers about it. A message carries up to 10 files, and every file you send is kept in Files with the source Chat.

Send a photo of a business card to the Mesy bot; the bot treats every photo as a card. It replies with the fields it read: Name, Title, Company, Email, Phone and the rest.

What you see next depends on the Inline confirm in Telegram setting. An admin controls it under Admin on the AI Permissions tab, and it’s on by default. With it on, the reply carries Confirm and Discard buttons, and a possible duplicate shows Add anyway instead of Confirm. Tap Confirm and the bot replies “Added to Mesy” with the records it created.

With it off, the reply says the card is staged for your review and points you to Approvals. When the card matches an existing contact or company, the reply says so. A Review in Mesy button opens the same card inside Telegram when your workspace has that set up.

A photo can be up to 20 MB, and the bot scans up to 10 photos a minute. The same card also appears in the web co-pilot and on the Approvals page until you settle it.

Send a PDF or an image (JPEG, PNG, WebP or GIF) as a file, up to 20 MB. The bot replies “Saved to Files” with the file name and a short summary of what the document contains. If it can’t summarise the document, the file is still saved and the reply says so. Other file types are refused with a message naming the types it accepts.

A document sent this way lands on the Needs review shelf at the top of the Files page. Each shelf card shows a Telegram badge and the summary under the file name. The sidebar’s Files entry shows the number waiting, and the Approvals page shows “captures need review” with a link. For each file on the shelf:

  • Click Link to record, search for a record and pick it. The file leaves the shelf and stays linked.
  • Click Dismiss to clear it from the shelf. The file stays in Files.

A scanned business card doesn’t go on the shelf: its proposed contact is the card you approve, and the photo is already in Files. A file attached to a chat message doesn’t go on the shelf either.
